www. mayawillcocks.com is committed to protecting your privacy. When you interact with myself by phone, mail, in person or online, I sometimes receive personal information about you.

This policy tells you what information I keep, why, for how long, and who I share it with. This is called Processing data. I am a data processor (according to GDPR) so I’m explaining why and how I process it.

Why do I hold (process) information about you?

Either because you’ve consented for me to do so (through working with myself, signing up to emails, filling in an online form) or because it’s part of my legitimate business interests, specifically proper administration of my website and running of my business. There’s more about Legitimate Interest later in this policy, explaining what it is and why I believe we have legitimate interest to process your data.

How do I collect information about you?

I may collect information about you whenever you interact with myself or my Website. For example, when you sign-up to a newsletter, ask about my business, work with myself or otherwise give me any other personal information.

What information do I hold about you?

The information I hold may include: website cookies, email addresses, phone numbers, physical addresses, position and also some of your opinions (such as previous email feedback). I also hold information about any financial transactions you make with myself (whether you’re a supplier or a client).

How do I store and protect your data?  

I take the security of your data very seriously.

  • All my electronic devices are password protected.

  • Electronic contact data lists (such as lists of names, email addresses etc) are encrypted.

  • Paper records (such as annual accounts) is kept in a secure location.

No data transmission over the Internet can be guaranteed to be 100% secure. As a result, while I strive to protect your personal information, I cannot ensure the security of any information you transmit to me.

Who is collecting the information?

It is myself Maya Willcocks for the purpose of the successfully running of my business.

Do I pass your info on?

I never sell your information. I only pass it on to third parties, who I believe have their own secure GDPR-compliant policies. These include:

  • Mail management systems: Google and Mailchimp.

  • My bank: MONZO

  • HMRC

  • Clients who ask for recommendations

  • Our insurance company: Policy Bee

When else might I pass your data on?

I might need to pass it on for legal reasons, as part of the Freedom of information act or for my own legal reason, such as for use in legal proceedings or claims.

How long do I keep your information about you?

I keep it for as long as is necessary to complete the work I am undertaking for you. I will then keep you on my database for 15 years for marketing purpose’s (my own, not any third parties). If you wish to be removed at any time, you can email me at mayawillcocks@gmail.com.

How can you delete or update your information?

Please contact me on mayawillcocks@gmail.com if you wish to delete or update any of your information. It is your legal right.

Financial transactions

When I make purchases from suppliers, send invoices, receive payments etc, this is handled solely by myself, Maya Willcocks. My bank MONZO, and HMRC will also have access to this information.

Cookies

My Website collects cookies, but I do not track you elsewhere. When you use my Website you have the option to refuse to allow cookies - in this case I will not collect your cookies.

If you visit my Website I may record the following information about you:

  • the areas of the website you visit

  • the amount of time you spend on the site

  • whether you are new to the site, or have visited it before

  • how you came to our website – for example, through an email link or a search engine

  • the type of computer, browser, network location and internet connection you use.

I may use Google Analytics to understand how people interact with my Website, so I can make it more effective. Google Analytics collects anonymous information about what people do on my Website, where they’ve come from, and whether they’ve completed any tasks on the site, for example, signing up to a newsletter. Google Analytics tracks this information using cookies and JavaScript code.

What are cookies and how they are used?

I use cookies to store information about you. A cookie is a small amount of data that is sent to your browser from a web server and stored on your computer. Cookies tell us whether a website user has logged-in, where to find details that can be used to pre-fill parts of on-line forms and to personalise your visit to the website. They are also used to track anonymously which areas of the site are popular and which are not used; this helps us monitor and improve the navigation and content of the site.

Internet browsers normally accept cookies by default; however, it is possible to set a browser to reject cookies. By modifying your browser preferences, you have the choice to accept all cookies, to be notified when a cookie is set or to reject all cookies

IP address

Your IP address is the unique number that identifies the computer you’re using. When you fill in our online form, we’ll store your IP address. Just let us know if you’d like us to delete it.

What else should I know about my privacy?

Remember whenever you voluntarily disclose personal information online, that information can be collected and used by others. In short, if you disclose personal information online that is accessible to others, you may receive unsolicited messages from other parties in return.

You should be aware that if you access other websites to which we provide links, these are outside our control. If you provide personal data to other companies, the privacy policies of those companies determine the uses to which that information is put and ours will no longer apply.

This policy may change from time to time, so please check back periodically. Ultimately, you are solely responsible for maintaining the secrecy of any information about yourself. Please be careful and responsible whenever you are online.

Why do we believe we have a ‘Legitimate Interest’ to process your data?

I only contact businesses who rely on services like ours. I rely on them using companies like us, to stay in business. So processing the data is mutually beneficial. No harm or damage is done by processing the data, and no-individual’s rights are affected. If I didn’t hold it, it would harm our ability to do business. I hold data securely (in encrypted files and behind passwords) and if you ask at anytime I will delete your data.

More detail:

– I only hold the data of individuals at companies (such as Ltd, PPL etc) never private individuals

– I only use this data to market services which are directly related and of genuine interest to clients and potential clients (such as Voiceover services)

– Processing the data is necessary to maintaining my business

– GDPR identifies this processing activity as legitimate

– The processing activity is essential to my business, so I can find new clients.

– The processing is critical to my businesses profitability. For example, emailing potential clients is a main source of business.

– The rights of the individuals, whose data I hold, are clearly articulated in our data policy (i.e. you can ask for myself to remove or change your data at any time)

– The people I email expect to receive marketing emails from companies like mine offering services they may already use and be interested in.

– Processing the data will not negatively affect individual’s rights or result in unwarranted harm or distress
